Free retention tools, calculators and templates

Before you buy anything, measure the leak. Put a number on forgotten quotes, overdue invoices and quiet customers, then use our templates to start recovering that revenue this week.

  • Calculators run in your browser
  • Templates in English and Arabic
  • Every formula shown

Why start here

Revenue rarely leaks out loud. It slips away in silence.

A quote nobody chased. An invoice nobody reminded. A loyal customer nobody called. Each one is money your team already earned, slipping away at a hand-off in the customer cycle.

These free tools help you see the size of it, in your own numbers, and give your team the words to follow up. When you want the finding and drafting done for you, Recover is there, and nothing is ever sent without your approval.

Step 1 · Measure

Revenue leak calculator: what are forgotten follow-ups costing you?

Three leaks, one number. Move the sliders or type your own figures. Everything stays in your browser.

The revenue leak calculator needs JavaScript. You can estimate it by hand:

  • Forgotten quotes per month = quotes per month × average quote value × share never followed up × extra win rate.
  • Dormant customers per month = dormant customers × average yearly revenue × share reactivated ÷ 12.
  • Overdue cash collected sooner (one time) = overdue amount × share collected sooner.

Step 2 · Prove it

Retention & ROI calculator: what is keeping one more customer worth?

Keeping a customer is cheaper than finding a new one, and small gains compound. See your revenue over three years with your current retention and with a better one.

+5% retention

Increasing customer retention by 5% increases profits by 25% to 95%.

Frederick F. Reichheld, Bain & Company, “Prescription for cutting costs” (2001); Reichheld & Sasser, “Zero Defections,” Harvard Business Review (1990).

5–25× cost

Acquiring a new customer costs 5 to 25 times more than retaining an existing one.

Amy Gallo, “The Value of Keeping the Right Customers,” Harvard Business Review (2014).

The Retention & ROI calculator needs JavaScript. The method: customers at the end of each year = customers at the start × (100% − churn). Revenue in a year = average customers that year × average yearly revenue. Compare three years at your current churn with three years at a lower churn; the gap × gross margin is the extra profit.

Step 5 · Check

Retention health check: 15 questions across your customer cycle

Revenue leaks at every hand-off, from the first enquiry to the renewal. Answer yes or no to see where your cycle is strong and what to fix first.

1 Generate leads

  1. Every inbound enquiry gets a reply within one business day.

Tip: unanswered enquiries are the first leak in the cycle. Agree a same-day reply rule, even if the first reply only says when the price will follow.

  2. A named person owns the shared inbox (info@, sales@) every day, with a backup for leave and holidays.

Tip: shared inboxes belong to everyone and no one. Name an owner and a backup, and check it at a fixed time each day.

2 Convert leads

  1. Every quote gets a follow-up date on the day it is sent.

Tip: a common rhythm is 7 to 10 days for trading quotes and 14 to 21 days for project quotes. Use the forgotten-quote template above.

  2. You can list every open quote older than 14 days, with its value, in under five minutes.

Tip: if quotes live only in sent emails, start with the quotes tab of the free data template. One list beats ten inboxes.

  3. When a quote is lost, the reason is recorded (price, timing, competitor or no answer).

Tip: “no answer” is a reason too, and often the most common one. It is also the only one a follow-up can fix.

3 Assign and onboard

  1. Every new customer gets a welcome or kickoff message in their first week.

Tip: the first week sets the tone. A short note with the next steps and one named contact person is enough.

  2. Every customer has a named owner on your team.

Tip: follow-ups without an owner wait forever. Add an owner column to your customer list today.

4 Serve and get paid

  1. Invoices go out on the day the work or delivery is complete.

Tip: every day an invoice waits to be sent adds a day to when you get paid.

  2. Someone reviews overdue invoices every week, partial payments included.

Tip: book a fixed 30 minutes each week. Partly paid invoices are easy to miss because they no longer look “unpaid”.

  3. A friendly reminder goes out before the due date, not only after it.

Tip: a short note a few days before the due date surfaces missing paperwork early, while there is still time to fix it.

5 Retain and expand

  1. You know which regular customers have not ordered in 90 days or more.

Tip: sort customers by last order date. Anyone who used to buy regularly and has gone quiet deserves a check-in, not a sales pitch.

  2. Contracts ending in the next 90 days are on someone’s list, with a renewal plan.

Tip: list contracts by end date and start the renewal conversation well before it, using the renewal template above.

  3. Key customers hear from you at least once a quarter with something useful, not only an invoice.

Tip: in B2B services the most common silent reason customers leave is “they never heard from us”. A quarterly check-in with proof of value prevents it.

  4. When a customer leaves, you ask why and record the answer.

Tip: common reasons are price, not seeing the value, missing features, switching to another provider, service, complexity and quality. Each needs a different fix. Why customers quit.

  5. Happy customers are asked for a referral, so the cycle feeds new leads.

Tip: the best time to ask is right after a win: a renewal, a paid invoice or a thank-you email.

Questions

Free tools: frequently asked questions

Are these tools really free?

Yes. The two calculators, the Google Sheets customer data template, the CSV template pack, the follow-up email templates and the retention health check are free. There is no sign-up and no card.

Do I need to sign up to use the calculators?

No. The calculators work straight away on this page. You only enter an email address if you want your result emailed to you or want the monthly newsletter.

Where does the data I type into the calculators go?

It stays on your device. The calculators run locally in your browser. Your health check answers are saved only in this browser so you can come back to them. Nothing is sent to Recover unless you choose to email yourself the result.

How accurate are the calculator results?

They are estimates built only from the numbers you enter, and every formula is shown under the result. Recover is not magic: these are your inputs, not a promise. For a result based on your real records, run a CSV Revenue Leak Audit in the free trial.

What is the difference between the Google Sheets template and the CSV pack?

The Google Sheets template includes a Start here guide, a Data guide and nine data tabs, so it is the easiest place to start. The CSV pack has nine header-only CSV files and a README with the fill-in rules, for teams that prefer to export from their own systems.

Can I use the email templates without Recover?

Yes. Copy them, replace the placeholders and send them from your own mailbox. Recover goes further: it finds who needs a follow-up, drafts each email in your tone and language, and waits for your approval before anything is sent.

Are the Arabic templates written for Gulf business?

They are written in Modern Standard Arabic with a formal, courteous business tone suited to the Gulf. Adjust names, titles and warmth to match your relationship with each customer.

What happens after I use the free tools?

Nothing, unless you want more. If you do, the 14-day free trial includes 1,000 tokens and a CSV Revenue Leak Audit, and the first 1,000 companies can get 30% off a paid plan. More answers on the pricing page.

Your numbers, your data, your approval

You have measured the leak. Now let Recover find it in your real data.
